Lavender Health ("we," "us," "our") is committed to protecting your privacy. This policy explains what personal information we collect, why we collect it, how we use it, and the rights you have over it.

We collect information in a few different ways, depending on how you interact with us:

When you book an appointment (via Acuity Scheduling)
Name, email address, phone number, and any details you provide about your reason for booking.

When you complete an intake form
Health and personal information relevant to your treatment — for example, medical history, pregnancy status, surgical history, or details relevant to your therapeutic coaching session. This is classed as "special category data" under UK GDPR, and we only collect it with your explicit consent, for the purpose of providing you with safe, appropriate treatment.

When you contact us
Name, email, phone number, and the content of your message, via our contact form, email, or social media.

When you sign up for our newsletter or a free resource (e.g. a factsheet)
Name and email address, which are stored in our email marketing platform, Brevo.

When you make a payment
Payments (including Klarna instalments) are processed securely by Stripe. We do not store your card or payment details ourselves.

When you browse our website
We may collect technical information automatically, such as your IP address, browser type, and pages visited, through cookies and analytics tools. See Section 5 below.

2. How We Use Your Information

We use your information to:

• Book, manage, and remind you of appointments

• Provide safe and appropriate treatment, tailored to your health history and needs

• Respond to enquiries and communicate with you about your bookings

• Send you marketing emails, factsheets, or newsletters — only if you've opted in, and with an unsubscribe option on every email

• Process payments and gift vouchers

• Improve our website and services

• Meet our legal and professional obligations (e.g. as required by our professional bodies)

We do not sell or rent your personal information to third parties.

3. Our Legal Basis for Processing

Under UK GDPR, we rely on the following legal bases:

• Consent — for marketing emails, newsletters, and collecting health/special category data for treatment purposes

• Contract — to fulfil a booking or service you've requested

• Legitimate interests — for things like appointment reminders and improving our services

• Legal obligation — where we're required to keep certain records (e.g. for insurance or professional body compliance)

You can withdraw consent at any time — see Section 7.

4. Who We Share Your Information With

We use trusted third-party services to run Lavender Health. These providers only process your data on our instructions, for the purposes described above:

Some of these providers may store or process data outside the UK/EEA (for example, in the United States). Where this happens, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses, as required by UK GDPR.

We will only share your information with anyone else if required by law, or with your explicit consent (for example, if we ever need to liaise with another healthcare professional involved in your care).

5. Cookies

Our website uses cookies to:

• Remember your preferences

• Understand how visitors use our site (via Google Analytics)

• Display embedded content (such as our Google reviews widget)

You can control or disable cookies through your browser settings. Disabling cookies may affect how parts of the site function.

6. How Long We Keep Your Information

We keep your information only as long as necessary:

• Client health/treatment records: retained for as long as legally and professionally recommended (typically a minimum of 7 years for adult clients, in line with insurance and professional body guidance), then securely deleted

• Booking and contact details: retained while you remain an active client, and for a reasonable period afterwards

• Marketing/newsletter data: retained until you unsubscribe or request deletion

7. Your Rights

Under UK GDPR, you have the right to:

• Access the personal information we hold about you

• Correct inaccurate information

• Request deletion of your information (subject to our legal/professional record-keeping obligations)

• Restrict or object to certain processing

• Withdraw consent at any time, including unsubscribing from marketing emails

• Data portability, where applicable

• Complain to the Information Commissioner's Office (ICO) at ico.org.uk if you believe your data hasn't been handled properly

Our services are intended for adult women. We do not knowingly collect personal information from children.

We may update this policy from time to time. The date at the top shows when it was last revised. Please check back periodically.
